Name the job. Check your existing tools.

Finish this sentence: “I need to turn ___ into ___, and I currently spend ___ doing it.” Then check whether a tool you already pay for can do the job.

Worked example: meeting notes. Our first move would be to check the meeting platform already in use. These documented features are candidates to test, not a quality ranking.

Being included does not make a feature accurate or suitable. We have not tested these products against one another, verified your plan or established a cheapest option.

Make the price concrete.

Use the same currency throughout. The defaults are illustrative inputs, not a vendor quote. Your values stay in this page and are not submitted.

Enter valid, non-negative amounts, a whole number of seats and an hourly value above zero.

Monthly = seats × price + usage. Annual = monthly × 12. Minutes = monthly ÷ hourly value × 60. This compares cost with your chosen value of time; it is not a forecast of earnings or savings. Include correction time in your trial. Setup, tax, training and cancellation costs are additional.

Run the same task. Keep the mistakes.

Use a small, permitted example with a known result. Run it with your current method and each candidate. Record total time, corrections and whether the output was actually usable. A polished demo is not your test result.

For meeting notes, prepare a fictional discussion with an agreed action, an owner, a deadline and an unresolved question. Check that the output preserves the distinction between a decision and a suggestion. Use synthetic material until you have checked the relevant data controls and permissions.

Keep the sources and a revisit date in the worksheet. Do not turn unknowns into a confident score.
